1. Data controller

2. What we process and why

• Account data (name, email, sign-in method) — to operate your account. Legal basis: contract performance.
• Content you create (quotes, clients, roles, organization details) — to provide the service. Legal basis: contract performance. Note that client details you store may themselves be personal data — you act as their controller and we as your processor.
• Billing data (subscription status, invoices) — processed by Stripe. We never store card numbers. Legal basis: contract performance and legal obligations (accounting).
• Transactional emails (sign-in links, invites, payment notifications) — sent through our email delivery provider. Legal basis: contract performance.

3. Cookies and analytics

Cookies strictly necessary for the service (your sign-in session and active organization) are always on. In addition, with your consent we use Google Analytics 4 to understand how the product is used — it loads only after you accept it in the cookie banner, and it does not log or store IP addresses. You can withdraw or change your choice anytime via “Cookie settings” in the footer. No advertising cookies are used. Separately, our hosting provider measures page performance (loading speed and responsiveness) on every visit. It sets no cookies, stores nothing in your browser and records the page pattern rather than the address, so it never sees which quote or customer you were looking at.

4. Processors

We rely on a small number of vetted service providers, acting as our processors under data processing agreements, in the following categories:

• Cloud infrastructure — hosting of the application, database and authentication
• Payment processing — Stripe — card details never touch our servers
• Email delivery — sign-in links, invites and payment notifications
• Error monitoring — diagnostics when something breaks
• Analytics — Google Analytics, only with your consent

Some of these providers are based in the United States. Where personal data leaves the EEA, the transfer is safeguarded by the provider's certification under the EU-U.S. Data Privacy Framework or by Standard Contractual Clauses. 5. Retention

Your data is kept for as long as your account exists. After a subscription ends, the workspace stays read-only so you can export or return. Billing records are kept as long as accounting law requires. You can permanently delete an organization and all of its data yourself in Settings → General → Danger zone. To delete your account entirely, email us at info@estimify.app.

6. Your rights

Under the GDPR you have the right to access, rectify, delete and port your data, to restrict or object to processing, and to lodge a complaint with the Czech Office for Personal Data Protection (ÚOOÚ, uoou.gov.cz). Write to info@estimify.app and we'll respond within 30 days.
